Specific Responsibilities


The Executive Assistant for Apache Corporation support Apache’s Domestic & International Asset leadership teams at the company’s Houston, Texas office and will report directly to the Vice President, Domestic Assets. The EA represents the company with clients and partners and must have excellent customer-service skills and a positive, can-do demeanor. The EA must be collaborative and have a positive attitude, excellent work ethic and strong sense of urgency. Top candidates will take initiative, be able to work independently and within a team, consistently seek solutions, and have the ability to effectively multi-task and master new concepts and tasks quickly. Anticipating needs and showing flexibility and willingness to adapt in a fast-paced work environment are crucial to success.


This role will be primarily responsible for the following:


  • Provide administrative and support to the VP, Domestic Asset Management and VP, International Asset Management and Management Team.
  • Maintain VPs’ calendars -- plan and schedule meetings, teleconferences, including making appointments and prioritizing the most sensitive matters.
  • Coordinate domestic, international, and corporate jet travel arrangements in alignment with company travel policy.
  • Prepare itineraries and agendas including hotel and ground transportation.
  • Act as liaison in requesting assistance, following up with and resolving issues associated with administrative functions with all levels of the company and in all regions and departments.
  • Prepare and review expense reports, spreadsheets, presentations for board meetings and quarterly reviews, executive functions and external events.
  • Responsible for administrative budget and tracking within Apache’s data reporting tool (DataNow).
  • Plan and coordinate management meetings and business development events.
  • Maintain and manage Weekly Approval Meetings including Agendas and Presentations.
  • Responsible for department office moves including ensuring the correct furniture is in place.
  • Distribution of incoming/outgoing mail and packages.
  • Assist & plan Quarterly Asset Reviews.
  • Process and handling of all department Expense Reports.
  • Code & process Invoices.
  • Coordinate and facilitate the completion of large administrative projects in a timely manner, including meeting strict deadlines.
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Meet/greet clients and visitors. Coordinate visit arrangements for clients and visitors
  • Perform general duties to include photocopying, faxing, mailing, and filing.
  • Coordinated department new hires/transfers/internships/move requirements by processing computer I.D. request, computer set-up, office set-up, office supply needs and reference materials including coordination of all computer software, hardware, data access requests for department via IT Security request.
  • Manage Asset Team Outlook distribution list & Team listing.
  • Provide administrative support to Management Team including updating Asset Team Rosters and Team Meetings.
  • DataNow Monthly Report.
  • Coordinate Field visits including FRCs and reserving pool vehicles.
  • Setting up all Temps and Contractors through Fieldglass Application. 
  • Setting up New Vendors (SAP-MDG).

Qualifications & Experience


The successful candidate will have the following qualifications and experience:


  • 10 or more years of relevant experience required.
  • High school diploma or equivalent.
  • Experience supporting senior level executives.
  • Ability to professionally interact with senior leaders and anticipate their needs.
  • Proficient calendar management and scheduling skills.
  • Proficiency in Microsoft Word, Excel, Power Point, and Teams.
  • Self-motivation, high level of organization skills, and the ability to manage multiple work priorities.
  • Ability to work effectively with principals, internal and external clients, and vendors.
  • Strong interpersonal skills and the ability to interact with all levels of staff.
  • Excellent written and verbal communication skills.
  • Ability to analyze information affecting his or her scope of responsibility, and to incorporate that analysis into sound business decisions (e.g., improving administrative processes to enhance departmental efficiency).
  • Aptitude to learn new processes and skills, and the ability to train others in those processes. 
  • Thrives in a fast-paced, demanding environment.
